Based in our Leichhardt Head office this role includes, paying rent and outgoings in a timely manner, invoicing sub-tenants, receipting subtenant rentals and managing arrears, tracking and reporting critical dates of all leases and subleases, update and maintain Landlord and subtenant information (including financial and contact information) and updating lease documentation to ensure Progenesis database is up to date Execute property team tasks such as systemising folders, implementing processes, receipting property teams invoices, preparing presentations, and organising weekly meeting agenda / note taking. Other administrative property related tasks to be undertaken as directed by the Property department management. Key Responsibilities Support the function of lease administration tasks and transition lease administration, becoming familiar with a new Progenesis system. Update and maintain the lease database, adding new leases, properties, landlords, tenants, rent reviews and option periods and all relevant lease documentation. Process and maintain leases to ensure all information is accurately entered and maintained in the database and filed appropriately. Process and analyse key lease information, such as rents, sublease payments, sessional payments, renewals, taxes, and property outgoings Support National Lease Administration Manager in processing rental payments and all other financial transactions in a timely manner. Analyse and report as required sub tenant arrears. Support arrears management.as required Develop and maintain relationships internally and externally with Property Managers and Landlords. Support lease administration with administrative roles such as bank guarantees and insurances, portfolio reporting. Administration support for Property team both head leases and subleases. Experience & Attributes Minimum of 1 years in a Lease Administration / Property Administration / Financial Analysis roles Accounting/Finance background preferred Proven experience in analysing and interpreting leasing agreements and financial statements Experience with Progenesis and/or Esker Systems preferred but not required Highly competent in Microsoft Excel and PowerPoint Highly organised with good time management skills Competent computer skills (Excel, PowerPoint and Progenesis and/or Esker Systems) Strong accuracy and attention to detail Excellent written and verbal communication skills Able to communicate with others, identify problems, and resolve potential conflicts Self-motivated individual who takes initiative and can work in a collaborative team environment Perks & Benefits 20% off Dental treatments Fitness Passport – discounted gym access 24/7 Employee Assistance Program Health insurance discounts An opportunity to work with private equity Flexible work arrangements On the job training and support from your Manager and wider team.
