Description Due to an internal move within our team, we are calling for expressions of interest for a keen and talented individual to take on the role of Defence Administrator/Personal Assistant. Reporting to the Defence Sector Leader, and working within our national Defence team, you will be a key contributor, providing Personal Assistance and administrative support to the Australia Defence Sector Leader and the Defence Leadership team. We’re seeking an enthusiastic team player eager to be involved in preparation, formatting, proofreading and finalisation of project deliverables, reports, proposals and other correspondences. Additional role accountabilities: Provide PA and administrative support which includes travel bookings, expenses reconciliation, restaurant bookings, meeting scheduling, events bookings. Provide general administrative support to the wider national Defence team including preparation, formatting, proofreading and finalisation of project deliverables, reports, proposals and other correspondences (e.g. PowerPoint presentations, letters) in accordance with GHD template guidelines, brand and QA requirements. Coordinate all Defence meetings and Executive Briefings including scheduling, distribution of invites, distribution of presentation material and minute-taking. Maintain records, including actively chasing proposal/project leads for missing details, and distribute monthly reports to all involved. Provide support associated with management of the various Defence Panels, liaising with the Defence Knowledge Manager and the respective Panel Managers. Assist with maintenance of our knowledge database and proposal systems to reduce overall cost of proposals across the business. Key criteria: A strong administrative background, including excellent communication skills - both oral and written - and an open communication style. Excellent WP, Excel, PowerPoint, Adobe and database management prowess. Exemplary engagement and communication skills, including the ability to influence, negotiate and network. Understand and adhere to GHD’s Values, Codes of Conduct and Policies. Strong liaison skills – able to collaborate with all levels of staff.
