About the role Ryan Catholic College, Kirwan is seeking an experienced and dedicated School Officer - Administration- Photocopying & Stockroom. This role is Term Time, Fixed Term position completing 25 hours a week over 5 days commencing on Monday 21 July 2025. The Administration Officer works in collaboration with the Business Manager and provides high level administrative support to the College Leadership Team, demonstrating a degree of self-initiative, flexibility and dependability. Key Accountabilities The Administration Officer will represent Ryan Catholic College, with a professional, warm, friendly and efficient manner. Duties include: Support the delivery of Administrative operational tasks associated with Records Management, Bulk Document production and administrative deliveries, Maintain accurate data records and ensure timely processing of administrative documentation Scan, file, and manage physical and electronic records in accordance with data compliance, confidentiality, and retention policies. Maintain and update internal administrative registers and logs. Coordinate bulk document production including photocopying, laminating, and collation of college booklets, handouts, and promotional materials. Oversee the receipt and verification of all incoming deliveries; ensure items are checked for accuracy and distributed to the appropriate departments in a timely manner.Provide administration support that meets the day-to-day requirements of the college including: Prepare professional documents including letters, spreadsheets, and reports. Support the coordination of internal communications for students and staff. Relay voicemail and telephone messages accurately and in a timely manner. Respond to general email enquiries with clarity, professionalism and warmth. Provide accurate information to students, staff, parents and visitors with a solution-focused approach. Provide support to student reception. Assist at student reception and provide first aid support where necessary Any other duties as reasonably requested to support the functionality of the college About you Experience Demonstrated experience in administrative roles involving high-volume communication and support. Strong organisational skills with the ability to multitask and meet tight deadlines. Hands-on experience in stock management, including receipting, verifying, and distributing deliveries. Proficiency in document management systems, internal registers, and compliance-related record keeping. Demonstrated ability to work independently and as part of a team to deliver support Proven ability in providing accurate, informative and confidential assistance to staff, students and parents. Skills Clear, articulate speaking voice with exceptional phone etiquette. High-level written and verbal literacy. Competence in scanning, filing, and managing physical and digital records in line with compliance standards. Outstanding customer service and interpersonal skills. Advanced computer literacy across various platforms and systems. Strong attention to detail and a commitment to confidentiality and professionalism. Demonstrates initiative, attention to detail, and a commitment to high standards Mandatory Criteria Current Working with Children Suitability Card - The successful candidate will require a paid Blue Card before commencement as per the No Card, No Start policy developed by Queensland Government Current Driver’s License Ability to perform the physical requirements of the role in a safe manner. Desirable Criteria 3 Years administration and/or reception, preferably within an educational setting or a large organisation.
