About the role St Anthony's Catholic College, Deeragun is seeking an experienced and dedicated administrative professional. This is a permanent, Part time position completing 22 hours per week . The role will commence as soon as practicable. The Enrolment Officer works in collaboration with the Office Manager and provides high level administrative support to the College Leadership Team, demonstrating a degree of self-initiative, flexibility and attention to detail, and dependability. The Enrolments Officer will be required to be the initial point of contact for all new families to the College. The incumbent will present a professional image and create a welcoming, warm and positive impression. As an initial point of contact for the prospective families of the college they deliver high quality customer service. The position reports directly to the Office Manager but will work with the College Leadership team very closely. Key Accountabilities The Enrolments Officer will represent St Anthony’s Catholic College in a professional, warm, friendly and efficient manner. Duties include: Enrolments All enrolment enquiries for Years Prep to 12, providing a timely, tailored response and recording the enquiry in the College’s database for follow-up. Manage the enrolment process for all students from enquiry through to commencement including the administration of all enrolment documentation. Coordinate interviews for prospective students and families with relevant Leadership and Senior staff. Maintain and enhance enrolment policies and procedures to maximise the efficiency of the enrolments process and the experience of prospective families. Utilise Enquiry Tracker (or similar program) to adequately accept, process and monitor all current and future enrolment applications. Maintain enrolments and enquiry databases to ensure they remain accurate and up-to-date, with all relevant information captured. Ensure student departure processes are accurately completed for Years Prep to 12. Completing Student Data Transfer Note for interstate transferees. Responsibility for accuracy of Student data in Compass for all students and families. Transitioning student portfolios and information to new schools as requested. Student administration duties using Compass. Performing end of year processes which include entering new students into Compass and assisting the Office Manager with rolling over students into their new classes for the following year. Assisting leadership with class placement as well as communicating this information to parents. Analysis and Reporting Provide executive support and regular reports to the Principal on current and projected enrolment figures. Analyse and report on the statistical data available in the College’s enrolments database regarding the movement of prospective enrolments through each stage of the journey from enquiry through to commencement, sharing feedback and insight on factors affecting enrolments. Liaise with relevant stakeholders to prepare and provide data and information to relevant government departments, including bi-annual census data, and assist with audit visits arising from the submission of data to government agencies. Assisting the Business Manager to develop reports on enrolment forecasts; statistical information on student enrolments; comparisons between past and current student numbers. Seek and compile feedback from families on the enrolment process to determine levels of satisfaction and opportunities for improvement. College Tours and Events – Coordination and Management Conduct College tours for prospective students and families. Coordinate the involvement of other staff as required. Attend and assist with organising Open Days, School Expos and any other College events with an enrolment focus. Coordinate the organisation of Orientation Mornings/Days for new students, liaising with the appropriate staff. Coordinate the production of event supplies and merchandise for Orientation Days Assist and attend where appropriate, Information Nights for current and prospective parents and students. General Support the Administration team to ensure a consistently high level of customer service is upheld across the enrolment function and ensure data integrity is maintained. Provide advice requiring knowledge of policies and/or the interpretation of rules or regulations within their area of operation. Apply knowledge of relevant industrial instruments and occupational health and safety requirements. Assistance and participation with marketing activities. Assisting the administration team with day to day duties where they may arise Any other task as reasonably directed by the Office Manager and Principal. About you Experience Previous experience in an administrative and marketing or event services function, with the provision of focussed professional, administrative support Demonstrated capacity to organise and prioritise a range of tasks and set priorities to meet deadlines in a busy environment Demonstrated ability to work independently and as part of a team Proven ability in providing accurate and informative assistance to staff, students and parents confidently. Skills Excellent communication skills (both oral and written) Ability to adapt to changing circumstances and embrace new ideas Highly developed computer literacy with the ability to operate a variety of platforms Organisational planning and coordination skills including the ability to manage demanding or competing deadlines The ability to proactively seek opportunities to extend ones professional scope of practice and learning. Mandatory Criteria Current Working with Children Suitability Card - The successful candidate will require a paid Blue Card before commencement as per the No Card, No Start policy developed by Queensland Government Qualification at certificate level or equivalent knowledge and experience relevant to the position Current Driver’s Licence Ability to travel from time to time within the Catholic Diocese of Townsville Ability to perform the physical requirements of the role in a safe manner.
