Urbis shaping futures your way! The Opportunity Are you super organised, a great communicator, and love keeping things running behind the scenes? We're looking for a proactive Senior Team Administrator to support our Directors in the Transport Advisory team at Urbis. In this role, you'll be the go-to person for calendar management, admin support, and helping the team stay on track. You'll work closely with our senior leaders, manage competing priorities with ease, and bring a calm, can-do attitude to a fast-moving environment. You'll also play a part in improving how we do things—whether it's finding better ways to manage tasks or supporting junior admin staff. If you've used systems like BST before, even better! You will: Provide support to the Transport Advisory Director/s, including managing calendars, meetings, events, travel requirements and other arrangements as required. Provide administrative support to the wider team including report and document preparation, including compilation and formatting, word processing, data entry support and excel formatting. Coordination of tender responses and document production, in a fast and accurate manner. Manage expenses, including input of expenses and reimbursements and the reconciliation of credit card invoices and reports. Assist Commercial Manager and Business Unit Manager in driving commercial actions and outcomes for the Business Unit. Provide a high level of technical support on all Microsoft Office Suite software, Urbis Practice Management System (BST) and expense management systems. Maintain and improve filing systems, administrative processes, and the Quality Management system, while supporting quality assurance initiatives. About You: Strong organisational skills, time management, and a proactive attitude. Excellent attention to detail and lateral thinking is a must in this key position for the team. Previous experience in a similar role that supports multiple people Intermediate to advanced level of experience using Microsoft products (Outlook, Word, Excel, PowerPoint and Teams) Why Urbis?
