Administration Assistant (Site) — Adelaide CBD, Adelaide

The Project The Torrens to Darlington (T2D) Alliance, comprising of John Holland, Bouygues Construction, Arcadis Australia, Jacobs and Ventia has successfully secured the contract to deliver the final 10.5km section of the North-South Corridor, contributing to a long-lasting legacy for the community and people of Adelaide. The project scope is concentrated on a 10.5km motorway, including more than 4kms of twin three lane tunnels, road and bridge construction and complex M&E installations. The Role As Adminstration Assistant you will be based at one of the T2D project sites and will be responsible for greeting visitors, managing incoming calls, and ensuring the smooth and professional operation of the office. This role supports a broad range of administrative functions, contributing to the day-to-day efficiency and organisation of the site. Your duties will include general administration, document control, and assisting with financial processes such as invoice preparation and tracking. You will be required to accurately manage incoming and outgoing documentation, maintain registers, and ensure files are stored and distributed in accordance with project protocols. The role also demands a high level of flexibility, as you may be required to shift priorities or take on varied tasks depending on the needs of the team. Your ability to stay organised, maintain confidentiality, and adapt to changing workloads will be key to your success. A proactive attitude and commitment to supporting a collaborative and safety-conscious environment are essential. Responsibilities Act as the first point of contact for visitors and calls, managing access, security, and enquiries Provide customer service to clients, vendors, subcontractors, and stakeholders Perform general administration: filing, mail, document management, and office support Coordinate meetings, catering, travel, and assist with minutes Maintain office processes, supplies, and equipment Assist with financial invoicing, including preparing, processing, and tracking invoices About You Minimum 3 years’ experience in an office environment Strong administration and document management skills Proficient computer literacy, including confident use of Microsoft Office Suite, databases, and digital systems Experience with financial invoicing, including preparing and processing invoices A positive, professional attitude and commitment to upholding project values and culture We Offer Your success is reflected in ours, and as an Alliance we are committed to being an employer of choice here in Adelaide.
