About This Opportunity We are seeking a dedicated Administration Officer (locally known as General Services Officer) to support the effective and efficient operation of the School of the Environment. Reporting to the Executive Assistant to the Head of School, this role is responsible for providing effective and efficient client-focused administrative services and support to both students and staff of the School of the Environment, including the School Executive team and external stakeholders. You will work on the reception counter, responding to email and face-to-face enquiries and supporting various committees within the School. You will interact and work with functional specialists (eg. Facilities, Finance, HR, HSW staff etc) co-located in the School. This is a full-time, fixed-term position for up to 8 months at HEW Level 5. Key responsibilities will include: Responsibilities Work under the direction of the Executive Assistant to the Head of School and other School staff to provide support to students and academic staff. Manage a professional and efficient reception desk in the School office, directing visitors to the appropriate staff member or function, and responding to telephone and email enquiries. Provide high level administrative support to the School Executive team, including providing administrative assistance to the Executive Assistant to the Head of School and School Manager as required. Provide high level secretarial and administrative support to School’s committees and meetings, including scheduling, distributing relevant documentation, taking minutes and supporting the Chair to coordinate Committee initiatives. Serve as the primary contact and coordinator of policy-driven administrative processes (e.g., HDR student travel, unpaid appointments, volunteers, vehicle driver authority), ensuring adherence to School and Faculty guidelines as well as University policies and procedures. Develops and maintains standard operating procedures for the effective and efficient functioning of the office Manage loans of all small equipment items (e.g., laptops, tablets and other minor items required by staff for teaching and research purposes). Coordinate purchasing of computer hardware for staff and students in collaboration with ITS and Facilities. Manage School common areas (e.g. meeting rooms, print rooms and tea rooms) and monitor and order stationery and other supplies. Manage room bookings for meeting and seminar rooms and catering orders as required. Contribute to the maintenance of the School website, SharePoint, and digital screens. Update the SENV newsletter and collate relevant information for review. Provide back-up assistance to the Executive Assistant to the Head of School, as required Other duties as reasonably directed by the supervisor Administration Provide support to higher level (e.g Faculty) committees and meetings. Coordinate the School’s seminars and relevant events, including managing RSVPs, hospitality and travel bookings as required, according to University policy and procedures. General administrative duties as directed by the School Manager and/or the supervisor. About You Demonstrated commitment to a high standard of customer service, and a willingness and ability to perform a wide range of operational tasks. Strong interpersonal skills and an ability to engage effectively, in writing and in person, with a diverse range of clients and stakeholders. Strong organizational, time management, and customer resolution skills with attention to detail. Working knowledge of University administrative systems, policies, and procedures or the capacity to rapidly acquire this knowledge.
