Administrative Assistant, Real Estate — Melbourne, Melbourne Region

The Opportunity Due to continued growth, we are looking for a detail-oriented individual to join our industry leading Real Estate team as an Administrative Assistant. The role: As an Administrative Assistant, you’ll work full-time, Monday-Friday, 9:00 am – 5:15 pm. In this role, you will collaborate with Legal Assistants, providing essential administrative support to our legal and business services staff within our firm. Your day will involve: Delivering high quality, accurate work whilst managing deadlines, responding to change and the competing priorities of all work Scanning, printing, or photocopying relevant documents as and when required by the relevant practice group support colleague or Lawyer Providing ad-hoc support to the practice group such as dealing with incoming mail, expense management, booking meeting rooms, amending documents and any other administrative duties Preparing files for archiving and manage return and retrieval of files following firm guidelines. Liaising with business services and other services to coordinate urgent mail and courier requests. Develop and maintain a robust file management system for all electronic and hard copy documents. Assist with updating client information and relevant databases, following legal assistant or lawyer instructions in a timely manner (eg, InterAction). Meet required deadlines and negotiate alternate timeframes when necessary. Open and manage matter administration efficiently. Skills & experience: This role will suit someone who is looking to commence their professional services career within a global top-tier environment. To be successful as an Administrative Assistant you will be a meticulous individual who enjoys working collaboratively. You will also have: 6-12 months administrative experience Impeccable attention to detail Knowledge of the Microsoft Office suite (Outlook, Word, Excel and PowerPoint) Previous customer service experience Demonstrated enthusiasm and proactivity in the workplace Strong time management and organisational skills; ability to prioritise your time across several busy matters Good written and verbal communication skills with a demonstrated ability to build effective relationships with stakeholders.
