About Us : Local Learning and Employment Network About You : Cert 4 in business administration or similar course; or equivalent years experience Position Summary : As an Administrative Officer, you will provide direct support to the South Gippsland Bass Coast VET Cluster Coordinator to ensure they can perform their role in the most optimised way. You will support the VET Cluster Coordinator by overseeing communications and taking the lead in the administrative expectations and tasks to ensure effective organisational flow for all VET cluster operations. This role requires additional assistance to the South Gippsland Bass Coast LLEN team in the providing an efficient, organised, clean, healthy office atmosphere. Effective diary management Good customer service experience and skills High levels of enthusiasm, energy and resourcefulness Excellent planning, organisation and computer skills Able to deal with customer complaints and issues effectively Neat and tidy administration Job Responsibility : Anticipates and prepares materials needed by the VET Cluster Coordinator for conferences, correspondence, appointments, meetings, telephone calls, etc Composes and types correspondence and/or reports from dictation, verbal direction, or from knowledge of company policy or procedures, files correspondence and other records Handles administrative details, usually of a confidential nature, on behalf of VET Cluster Coordinator, uses considerable judgment and initiative to determine the approach or action to take in non-routine situations Processes administrative tasks relating to the VET DSS Flexible Transport Fund including bookings, expenditure tracking and end of year reporting Assists in the development of the VET Cluster's budget, business planning, and related planning functions Schedules appointments for SGBC VET Cluster and SGBC Trade Skills Alliance meetings; arranges travel schedule and venue reservations Analyses complex information requests, prepares special or one time reports, summaries, or replies to inquiries, selecting relevant information from a variety of sources Creates, edits & formats Word, Excel & PowerPoint documents at an advanced level Composes & proof read’s correspondence and/or reports from dictation, verbal direction or from knowledge of company policy or procedures; files correspondence and other records. Contributes to team effort by accomplishing related results as needed Supports SGBC LLEN staff in the administrative tasks associated with school Vic Vice VR headset bookings, and in onboarding school staff with headset training Takes direction from the VET Cluster Coordinator and SGBC LLEN Executive Officer for other administrative tasks that arise from time to time.
