An exciting opportunity exists within the Office of the Chief Executive Officer, providing support to a team of Executive Assistants that look after the CEO and four Directors. We are looking for a team player who will step in and assist with tasks when the Executive Assistants are out of the office and provide leave coverage when required. Utilising your strong administrative skills, your contributions will include creating and collating reports, presentations and correspondence and minute-taking. You’ll set up meeting rooms and arrange stationery and catering. This role has a strong focus on records management – ensuring electronic records are saved and registered within the City’s record management system. In this role, your key tasks will include providing confidential administrative support to the Office of the CEO, managing communications and ensuring efficient recordkeeping. You'll also handle internal and external customer inquiries promptly and assist with meeting preparation, contributing to seamless team operations. This position is being offered on a permanent part-time basis at 26.5 hours per week, ideally from Monday to Thursday (however there is some flexibility in the days/hours worked). This role is based in Spearwood however there will be the requirement to travel to other locations (mostly within the City of Cockburn) – for this a valid driver’s licence will be required. The Person If you possess the following attributes, we’d love to hear from you: Previous experience in an administrative role within an executive team. Well-developed data processing and computer skills Highly developed communication skills Ability to maintain attention to detail and accuracy while working to tight deadlines Excellent organisation / time management skills Previous experience working in a records management environment and using an electronic document and records management system (EDRMS) is desirable Previous experience working with Microsoft Suite – Outlook, Word, PowerPoint and SharePoint will be highly regarded Salary: $74,487 - $79,582 (pro-rata) per annum depending on relevant experience and skills.
