Your role at St John of God Ballarat We are seeking applications for an Administration Officer to join our Engineering team at Ballarat on a permanent basis. To purpose of the position is to provide administration, workload scheduling and assignment, contract management, procurement and accounts payable within the engineering/facilities department of the hospital. The Position Provides all administrative support for the Facilities department. Completes written correspondence, documentation and reports as requested. Overseas all contractor engagement processes and daily induction requirements. Overseas the distribution and management of staff, contractor and VMO building access management, including registers for keys and access cards. Maintains stock levels of consumable supplies as required, ie medical gas, chemicals, high turnover equipment. Support delivery / loading dock and backup as required during times of absence/quiet times. Administratively support development and oversight of divisional contracts, tenders, quoting, and general purchasing; maintaining high accuracy in record keeping and system data entry. Liaise with regional and Group contracts team for centrally managed contracts. In collaboration with divisional leadership develop routine maintenance schedules in organizationally defined systems The ideal candidate will have a solid understanding of accounts processing activities and a strong background in delivering exceptional customer service. Excellent interpersonal and communication skills are essential, along with the ability to manage competing priorities and meet deadlines effectively.
