About the Program : LMA has entered into an arrangement with BAE, Saab and CoA (MIWS) for the execution of all Combat System Integration work related to the Aegis Surface Combatant fleet. The agreement, called the Combat Systems Integration – Integrated Project Team (CSI-IPT) Collaboration Agreement or CCA forms a collaborative enterprise organisation to execute scopes of work across Hobart Class Destroyer (SEA4000 Phase 6 and other related Destroyer Capability Enhancement (DCE) upgrades) and the Hunter Class Frigates (HCFs - SEA5000 Phase 1). The CSI-IPT evolves the current independently executing programs such as SEA4000 Phase 6 and SEA5000 Phase 1 under an umbrella enterprise organisation formed as a program of programs. Your responsibilities will include: As the Admin Support Officer for DDG Shipyard, you’ll be a key member of the Combat Systems Integration (CSI) Integrated Product Team (IPT), providing essential administrative support to shipyard-based personnel. Reporting to the DDG Engineering Operations Manager, you will coordinate inductions, training, PPE, and site access, while supporting US Integrated Test Team (ITT) members in line with security and export control requirements. Key Responsibilities : Support onboarding and induction processes for CSI-IPT shipyard personnel and visitors Coordinate training requirements, including White Card and Working at Heights certifications Manage access to Personal Protective Equipment (PPE) for shipyard staff Assist US ITT and fly-away teams with security, export control, and visa/residency matters Maintain access registers for Osborne Naval Shipyard and Maritime Combat System Integration Centre (MCSIC) Act as local admin support and primary liaison for shipyard staff regarding safety and security Oversee subcontractor site access and manage waterfront office space allocation Collaborate with external stakeholders to resolve administrative issues Drive continuous improvement initiatives for shipyard support processes Promote performance excellence and logistics awareness across CSI-IPT About you: To be successful, you will bring: Strong experience in project support or administration, with a proactive and solution-focused approach Ability to coordinate tasks across multiple stakeholders and work independently Proficiency in MS Office (Outlook, Word, Excel, PowerPoint) and strong digital literacy Prior Defence Industry experience Understanding of Defence security and export control frameworks Experience supporting teams in production-based environments (desirable) Familiarity with tools like Confluence, Jira, Visio (desirable) Experience coordinating travel, itineraries, and expenses (desirable) Excellent communication skills and adaptability to dynamic project demands A commitment to shipyard safety and strong stakeholder engagement skills An active NV-1 security clearance and ability to handle Export Controlled information Special Requirements: Applicants must be eligible to obtain and maintain an Australian Defence Security Clearance (NV1) and employment may be contingent on the provision of further personal information including citizenship to ensure compliance with international export control legislation and regulations.
