Fundraising Administrator Permanent, full-time OR 0.8 FTE available Osborne Park location, parking available on-site 76 hours per fortnight – hybrid working arrangements The opportunity The Fundraising Administrator is responsible for providing key support activities and acts as the ‘first port of call’ for current and prospective donors to the ACNC-registered Silverchain Foundation. Reporting to the Philanthropy Manager , you will work in collaboration with the Silverchain Foundation team, responsible for processing donations and updating the donor database. You will also be the first point of contact for current and prospective donors to Silverchain Foundation. This will include authentic connection with donors, and administrative support for donor activities, including incoming and outgoing calls, responding to email enquiries and supporting the Silverchain Foundation team with administration tasks as required. Key responsibilities The major accountabilities of this position are: Efficiently process donations through multiple channels into the relevant and appropriate tool, such as Silverchain Foundations CRM or payment system. Issue donation receipts to supporters and initiate follow-up communications to thank and connect, while referring relevant gifts to the appropriate team or team member for further actions. Maintain accurate and up to date donor records, including core details, communication preferences, survey results and donation preferences. This ensures each supporter receives relevant updates, impactful stories, and engagement opportunities that resonate with their interests. Engage supporters by creating meaningful connections across various channels, including phone, digital, written and in-person interactions. Actively listening to their needs and providing required information upon request. Identify key items of importance for supporters, and document effectively to drive future stewardship efforts. Ensure that all interactions reflect Silverchain Foundation’s commitment to exceptional customer service, leaving donors feeling valued and appreciated. Support the Silverchain Foundation team in preparing targeted segmentation criteria and lists for appeals, campaigns and activities that maximise engagement, while complying with donor privacy. Proactively support both new and existing donors of Silverchain Foundation by facilitating timely engagement initiatives aligned to supporter journey. About you To be successful in this role you will be able to demonstrate the following skills: At least five years’ experience in fundraising administration. Attention to detail in financial processes and maintaining supporter records to ensure ongoing database accuracy and reliability. Established time management and organisational skills to effectively plan and prioritise work tasks. Strong written and verbal communication skills. Excellent customer service and relationship building skills, with high emotional intelligence, demonstrable empathy, and well developed conversational skills including reflective discussion and support. Experience in the use of CRM systems, particularly fundraising specific modules or systems such as Salesforce, Blackbaud or Microsoft Dynamics. Demonstrated computer literacy in word processing, spreadsheets and databases to create and deliver effective documentation and correspondence. Understanding of data analysis, with the ability to interpret data and apply insights relevant to fundraising. Strong affective commitment to Silverchain Foundation’s aims and purpose, combining Silverchain’s community care expertise with the latest research and innovation to create a better home care system for all Australians. Qualifications and/or experience that are highly desirable for the role: Qualifications in Fundraising and/or Administration or other relevant qualifications are desirable.
