The role: We are seeking an Administration Coordinator for our Asset Management Services department. The primary focus is to provide essential administrative support, ensuring the smooth operation of the department and coordination with various stakeholders. You will be responsible for tasks ranging from document preparation and financial administration to supporting team and client relationships. This position reports to the Centre Manager. The role will be based in Geelong, Victoria Key responsibilities: Draft, review, and prepare various forms of documentation such as correspondence, reports, and presentations. Manage internal and external accounts, including processing payments, dealing with invoices, and following up on outstanding items, liaising closely with the Accounts Department. Coordinate all maintenance works by accurately issuing work orders to approved service providers. Attend promptly to tenant service requests. Provide general administrative assistance, including managing mail, archiving, photocopying, typing, scanning, collating, and binding. Prepare accurate and timely monthly expense reconciliations for applicable buildings. Assist managers with the efficient coordination of on-boarding and off-boarding of employees. Who are we looking for? Demonstrable experience of at least 2 years within a similar administration or PA role providing support to a team or senior individual is required. Intermediate to Advanced proficiency in Microsoft packages, particularly Word, Outlook, PowerPoint, and Excel. Excellent time management & organisational skills with the ability to manage workflow and priorities to meet deadlines. Ability to work under minimum supervision. Strong customer service focus with the ability to communicate effectively with internal and external clients at all levels. Excellent verbal and written communication skills, including an advanced level of spelling and grammar, essential for liaising with clients and drafting documents.
