About The Role Anglicare is looking for an Administration Coordinator - Operations to support the efficient functioning of the Resident Services, Hospitality, and Facilities Teams within the village. Reporting directly to the Village Operations Manager, this position involves overseeing administrative tasks, coordinating operations, and facilitating seamless communication among the village operations teams, additional teams on site, residents, families, contractors and other stakeholders. The Administration Coordinator - Operations ensures that the village teams operate smoothly, efficiently, and to high standards, upholding Anglicare’s values of justice, compassion, integrity, and excellence. This is a Permanent Part-Time role based at Taren Point. 3 days per week. Must work Thursday and Friday, flexible on the third day. Responsibilities (not limited to): Provide administrative support to the Resident Services, Hospitality, and Facilities Teams, including scheduling meetings, managing calendars, and handling correspondence. Maintain accurate records, databases, and digital filing systems for all relevant documentation and information. Assist in the preparation of reports, presentations, and other materials as required by the Village Operations Manager and department heads. Support rostering administration and banking administration tasks as needed. Act as a central point of contact for operational inquiries, concerns, and requests, both internally and externally. Coordinate with various departments to ensure timely execution of operational tasks, projects, and initiatives. Monitor inventory levels and assist in procurement activities. Provide systems support to teams, including digital filing systems, and assist in troubleshooting any issues that arise. Serve as a liaison between the Village Operations Manager and department heads, conveying instructions, updates, and directives as necessary. Assist in organizing and conducting team meetings, workshops, and training sessions as required. Monitor service quality and adherence to established standards within the village, promptly addressing any issues or concerns that may arise. Assist in implementing and maintaining policies, procedures, and protocols to uphold the highest standards of resident satisfaction and operational excellence. Collaborate with relevant stakeholders to identify areas for improvement and implement solutions to enhance overall operational efficiency and effectiveness. Requirements: IT literacy and experience in utilising Microsoft360 Suite applications. Proficiency in identifying issues or gaps in procedures and implementing solutions Excellent communication and interpersonal skills Strong organizational skills with the ability to multitask and prioritize effectively in a fast-paced environment. Detail-oriented mindset with a focus on accuracy and quality. Ability to work independently as well as part of a collaborative team. Bachelor's degree in Business Administration, Hospitality Management, or a related field preferred. Proven experience in administrative roles, preferably in a hospitality, property management, or facilities management environment.
