Your role at St John of God Bunbury Hospital We are currently seeking an Administration Assistant to provide administrative services and support to the Learning & Development Department and our Infection Control team. The role is offered on a Permanent Part Time basis, working 30.4 hours per week. The Position: Provide administrative support to Learning and Development and Infection Control team. Provide general administration support including use of generic office equipment such as photocopying, faxing, maintaining stationary and hospitality supplies, and maintaining filing systems. Manage communications including telephone, mail and emails. Prepare draft responses on request as required. Provide secretarial support to department meetings and ensure typing and distribution of minutes, correspondence and memos is completed in an accurate and timely manner. Setting up and facilitating meetings through MS Teams as well as facilitating Flu Clinics Assist Coordinator with the processing of financial invoices in a timely manner. Manage the administrative component of student placements such as student requests, rostering, invoicing and placement organisation, in liaison with the Coordinator. Respond in a timely and appropriate manner to all customer enquiries. Build surveys, maintain training data and compile reports in a timely and accurate manner. Ensure regular reports are produced as required and one off reports as negotiated. Maintenance, accurate data entry and reporting within the learning management system and Infection Control platforms. Coordination of orientations, scheduling of meetings, calendaring and correspondence Assistance with evidence for assessments Coordinating Staff Health – data entry, correspondence and pre-employment You will have previous experience in administrative assistant roles, well-developed written and verbal communication and customer service skills and have the ability to work effectively with a range of stakeholders. To succeed you will have advanced word processing skills with experience and knowledge of a range of MS Office packages, MS Teams and data reporting systems with the ability to work independently, prioritising workload to achieve effective, efficient administrative services. We can offer you Salary: $66,608 to $71,901 per annum (pro-rata), plus 11.5% superannuation Permanent Part-Time position, working up to 30.4 hours a week.
