Tenure Permanent Applications close Sunday 25th May 2025 Purpose of the Position This position will be responsible for providing administration support to the Office of the CEO by providing administrative support to the Chief Executive Officer and Deputy Chief Executive Officer(s). The position will report directly to the Executive Officer and will undertake operations of all administrative tasks. This position is a key component to ensuring the efficiency and effectiveness of senior executive functions within the Office of the CEO. Duties Ensure a professional and efficient approach to the management of services to Senior Executives. Actively contribute to a culture of achievement within the Institute and develop and maintain effective collaborative relationships with a diverse range of stakeholders. Provide secretarial and administrative support to the Executive Officer. Organise conferences and meetings, including coordination and preparation of relevant papers, materials and catering. Carry out projects and provide other assistance to Senior Executives as required. Organise travel and booking requests for Senior Executives. Proficient in government systems, Microsoft Teams, TRIPS, CTM and Expense8. Assist with the efficient day to day administrative operations of the Senior Executives and Executive Officer. Advise Institute staff of relevant decisions taken by the Chief Executive Officer and Deputy Chief Executive Officer(s). Other duties within the range of skills normally associated with this classification as directed by the Executive Officer. Selection Criteria Demonstrated ability to work effectively in culturally diverse teams within the social, political, and cultural environments of Aboriginal and Torres Strait Islander families, communities and organisations. Proven ability in providing administrative support and advice at an executive level in a challenging environment including: maintaining high levels of confidentiality. organisational and time management skills, prioritising competing requirements, and meeting critical deadlines; and maintaining professional relationships with senior people in the Aboriginal community and organisations, in the public and private sectors and other Batchelor managers. Proven experience in working independently and as part of a team, with the ability to adapt to change and be self-motivated. Extensive knowledge in computer systems including word processing, spreadsheets, email, records management, database and major business systems.
