Description Administration Lead and Project Officer Reference number: 10639 Closing date: 11:00pm Friday 2 May 2025 Permanent full-time position Salary commencing at $82,635.67 per annum plus 11.5% superannuation, based on skills and experience Monthly RDO and hybrid working arrangements available The Opportunity The Administration Lead and Project Officer plays a key role within the Family & Children Services department, offering comprehensive administrative support to the department Manager and staff across the organisation. This dynamic position requires exceptional organisational, coordination, and communication skills, combined with strong project coordination capabilities. The role requires advanced administrative and technical proficiency to ensure seamless operations and to deliver excellent customer service. The position will also manage stakeholder relationships, community, and other key stakeholders, ensuring that all interactions are handled efficiently and professionally. Responsibilities Provide high-level administrative support to the Manager, Family & Children Services and the Family & Children Services Department. Monitor and maintain the email inboxes, actioning items as appropriate, and alert the Manager when items require immediate attention. Draft correspondence for the Manager as required. Monitor, follow up, and report on the department’s progress in undertaking/completing actions and tasks assigned via meeting minutes, Content Manager, and Councillor/customer requests, etc. Proactively liaise with Family & Children Services Business Support Officers and staff to ensure efficient and effective operations and coordinate the timely delivery of activities and actions. Organise and attend meetings, prepare agendas, take and distribute minutes, and follow up on prescribed actions/tasks as required. Ensure all relevant information, including appropriate files and correspondence, is saved in Council’s record management system (Content Manager). Provide administrative support to and coordinate working groups/projects within the Family & Children Services area and Council-wide as required. Skills & Experience Strong administrative skills, able to achieve objectives efficiently within resource and timeline constraints. Commitment to Council’s values, goals, and objectives. Ability to quickly understand task requirements and achieve desired outcomes. Well-developed written communication skills with the ability to produce quality correspondence. Degree/Diploma in Business Administration (or equivalent) is ideal, or relevant experience and skills related to the position. Intermediate to advanced skills in Microsoft Office, document management systems, purchasing/invoicing systems, Canva and Teams. Knowledge of local government and Council processes is advantageous. Experience in research and project support functions. Experience working in children and family service sector is desirable.
