Recruitment Administrator — Como, South Perth Area

Role Overview This role is focused on supporting the HR function with a strong emphasis on recruitment-related activities. The Recruitment Assistant will play a key role in coordinating and facilitating the end-to-end recruitment process, including job postings, candidate screening, interview scheduling, and onboarding. In addition, the role may provide administrative support across various HR functions, including employee inductions, probation reviews, performance appraisals, professional development initiatives, employee relations, and general HR administration. Key Result Areas Key performance indicators are clearly defined through business and performance planning process and include: Talent Acquisition & Retention Assist with the recruitment and selection process for hiring managers across all companies including position description development, drafting advertisements, and posting on various job boards as required Ensure the employee on-boarding experience of new employees is adhered to Assist with the preparation of employment contracts and Employment Hero onboarding for successful candidates Ensure all candidates are fully compliant before commencing employment Liaising with unsuccessful candidates to provide feedback where required Assist with follow up on probationary reviews Assist HR team to ensure exit checklists / notifications to other departments / exit surveys are actioned, and personnel records updated. Compliance Ensure that employee compliances are managed so that all businesses are always 100% compliant to mandatory standards; and that performance management measures are implemented as required Ensure adherence to all relevant Australian employment laws, regulations, and industry standards Act as a key point of contact for compliance-related inquiries and investigations, maintaining confidentiality and ensuring procedural fairness Maintain accurate records and documentation of compliance activities, ensuring accessibility and adherence to Australian Privacy Principles HRIS Management Serve as a point of contact and subject matter expert for all HRIS-related matters within the organisation Champion the optimisation and utilisation of HRIS to streamline processes and enhance data-driven decision making Develop and deliver training programs for the HR team and end-users on HRIS functionality and best practice Provide ongoing support, troubleshooting, and resolution for HRIS-related inquiries and issues Ensure data accuracy and integrity within the HRIS through regular audits and quality check Identify opportunities to optimise HR processes through automation and system enhancements Administration Act as a point of contact for all employees Continuously update company induction pack to ensure consistency Manage and triage HR and Careers email inbox where required Maintain and update HR systems, databases, and registers Assist in ensuring that all Position Descriptions are current Support the broader HR team Off boarding employees as required Support HR projects related to employee development and well-being Other duties as required Workplace Health & Safety Take reasonable care for your own health and safety, and health and safety consultation and communication. Promote a positive safety culture by contributing to health and safety consultation and communication. Promptly respond to and report health and safety hazards, incidents and near misses via our Work Health and Safety systems. Key Selection Criteria Essential experience and qualifications Tertiary qualification in Human Resources or Administration A minimum of 1 years' experience in end-to-end recruitment or administrative support and expert knowledge, skills and experience of recruitment principles and processes Ability to maintain a high level of professionalism and confidentiality High level of computer literacy, demonstrated experience with software products including Word, Excel, PowerPoint and Outlook Ability to work independently, show initiative and work productively within a team environment Excellent interpersonal and communication skills and the ability to maintain a pleasant and friendly working manner Excellent time management skills and a high degree of flexibility Adhere to and comply with Xanadu Group processes and procedures using appropriate systems when required Personal Qualities Remains calm, focused and maintains perspective when faced with change, crisis and difficulty; does not give up or get disheartened when faced with obstacles; is flexible Responds effectively to challenging behaviours and complex needs.
