Office Administrator — Perth, Perth Region

Description The Role The Receptionist/Office Assistant is responsible for overseeing office front of house while providing overflow administration support to fee earners, business services and the support team. This role is approximately 50% front of house and 50% office administration tasks. A key part of the role will be providing Events Assistant support to our Marketing team in Perth. Key Responsibilities Front of House • Answer all incoming phone calls and take accurate messages as required • Monitor staff movements including ins/outs, personal/annual leave and the work from home register, report weekly to payroll • Ensure front of house and meeting rooms are clean and presentable at all times • Offer hospitality and order catering when requested • Set up and pack down meeting rooms • Set up/operate all video and telephone conferences in each of the meeting room Event Assistance • Use InterAction to keep records and mailing lists up to date, as well as prepare and send invitations to events, manage RSVPs • Assist with functions and events including producing attendee lists and name tags, greeting of guests, maintaining CPD lists and other ad hoc requests • Manage catering and logistics associated with in-house events Practice Administration • Provide overflow support for Legal Assistants General • Liaise with suppliers and building management to resolve office maintenance issues • Manage external correspondence including couriers • Administration of staff security cards, car bay usage and mobile chargers • Order stationery, office supplies and amenities • Assist Social Committee with tasks and events • IT – liaise with IT team to maintain office equipment and maintain register of hardware • Assist with new staff set up • Conduct any other ad hoc duties as may be required Skills And Experiences • Exceptional attention to detail • Proven ability and willingness to learn office administration tasks and processes • Ability to maintain and build professional relationships and to liaise with people at any level • Strong keyboard and computer skills, including knowledge of MS Office • Highly organised • Pro-active and can-do attitude • Professional communication skills (both written and verbal) What we can offer you Our friendly Perth office has a close-knit group of both lawyers and support staff and a strong social committee.
