Administration Officer — Bundaberg, Hervey Bay Region

PURPOSE OF THE POSITION The key roles of the Administration Officer Officer are: to provide administrative support to the Quality, Risk and Compliance Manager and Executive Leadership Team to effectively plan, establish, implement, maintain and review its management systems, standards and schemes across quality, risk and compliance; and to provide timely, efficient and effective administrative support to the management team and across the organisation, to ensure that Bridges provides exemplary service to its consumers. Act as backup to the Payroll Officer for processing Bridges fortnightly pay runs POSITION SPECIFIC RESPONSIBILITIES Quality, Compliance and Risk Management Systems Support the Quality, Risk & Compliance Manager to ensure: The quality systems remain fit for purpose for the range of quality management standards and schemes required; The quality systems are regularly maintained and reviewed including, but not limited to, assisting with management reviews, audit planning, training, continuous improvement activities, incident management, risk register management, internal and external audit management and corrective action management; and All quality management activities remain person-centered across all organisational activities. General Administration Assist in the operation of the client intake and referral system to ensure clients are allocated to relevant programs, staff are advised of referrals and, where necessary, appointments booked for clients or follow up and/or information is sourced to inform efficient client care. Provide on-site staff with administration support, as requested/required. Maintain adequate stationery and other supplies to ensure smooth running of the office. Contribute to the effective and efficient planning for and management of all non-clinical aspects of BHCC through both formal (team meetings) and informal feedback, email, etc. Receive and process all incoming correspondence as required and to ensure outgoing correspondence is appropriately signed off and distributed in an accurate and timely manner. Provide administration and secretarial support as requested including, but not limited to preparation, copying and presentation of letters, memos, reports, agendas, minutes, etc. Work alongside other administration staff as required to ensure the smooth operation of Bridges client and administration services.
