Position Overview: The Scheduling Administrator will serve as the primary point of contact for potential clients, their families, and representatives. They are responsible for delivering a timely roster for all locations within their area of responsibility that will be structured to deliver all billable hours and Complete all required treatments at each location. The role involves implementing a coordinated intake process to identify client support needs, co-designing support plans, developing service quotes and agreements, and collecting client-specific data. The Scheduling Administrator will instil confidence in potential clients and stakeholders, promoting Encara as their provider of choice. Key Responsibilities: Develop the weekly roster schedule: establish and manage tasks and deadlines for the roster, ensuring clear timelines are set. Ensure completion of rostered tasks: guarantee that all activities and deadlines within the rostering schedule are completed as outlined for the designated sites within the scope of responsibility. Backfill Annual and Personal Leave: ensure contingency plans for holiday and sick leave are in place, ensuring that all services and treatments are consistently delivered at each location every week. Maintain exceptional customer service: deliver outstanding customer service, fostering positive relationships Act as the initial point of contact for all potential clients, families, and representatives, providing responsive service to facilitate their transition from inquiry to service delivery. Implement a coordinated intake process to assess client support needs, including the routine of clients, developing service quotes, client agreements and allied health reports. Collect and maintain accurate client information within a person-centred active support framework. Determine clients' eligibility for services and refer them to other relevant services if required. Collaborate with clients, families, Local Area Coordinators, and Support Coordinators to facilitate support. Ensure effective and professional communication with the Manager and provide monthly service reports. Collaborate with internal and external stakeholders to ensure the successful facilitation of NDIS plans and support client outcomes. Excellent communication and interpersonal skills, with the ability to build rapport with clients, families, and stakeholders. Strong organizational, and time management skills and attention to detail. Familiar with client management systems. Ability to work independently and as part of a multidisciplinary team.
