The Role This role is responsible for providing administrative support to the Bid and Submissions team to ensure tender submissions, EOIs and proposals are compiled and submitted on time according to client requirements. This includes establishing and managing tender resources such as SharePoint sites, Teams chats, Planner tasks, contact lists, and Outlook mailing groups. This role will work as part of the Submissions team and work with key stakeholders to assist in collecting all required information for tenders and provide administrative support to the team as required to ensure high quality bid/tender submissions. Tasks include: Provide general administrative assistance in the coordination of all tender submissions, EOIs and proposals for Submission team. Provide assistance in the organisation and coordination of technical information between various and multiple business units. Assist in gathering, sorting and proofing of information from various departments and stakeholders. General administrative tasks to support the Submissions team as required. Manage CV libraries and headshots, ensuring outdated materials are replaced and records remain current. Ongoing management of insurance and certification to ensure they remain up to date. Maintain tender passwords register. Provide comprehensive administrative support for tender kick-off meetings, including venue coordination and scheduling Tender inbox management Experience · Experienced in document control and preparing tender submissions · Knowledge of construction terminology and industry processes · Skilled in MS Office, SharePoint, and document management systems · Strong attention to detail and quality assurance · Able to manage tight deadlines and multiple priorities · Confident communicator and team collaborator · Background in admin or construction support roles preferred
