About the Role Trane Technologies has an exciting opportunity to join our organisation as a Permanent AUS Rental Administration Officer and will be based out of our office in Seven Hills. Reporting to the ANZ Business Operations Manager, and working alongside the Finance Controller, the AUS Rental Administration Officer will be responsible for AUS Rental Management Invoicing, Scheduling & Document control. This includes performing both routine and specialist tasks and assignments from requests and instructions provided by the Rental teams and setting up Rental Maintenance Agreements. The AUS Rental Administration Officer will build rapport with established customers and foster new supplier relationships, to ensure the best possible outcomes on daily basis for the Rental Business. Key Responsibilities Rental Administrative Duties · Confirmation of details of rental with salesperson - customer, site address, PO/contract, start and end dates, invoicing schedule, serial number/s, accessories · Supply order acknowledgment if Invoicing schedule to Salesperson and Client ensuring the correct email address for Invoicing submissions. · Analyse required documentation received for Rental activation - PO/signed contract/email approval, quote and file as per Trane policies and process to align for compliancy. · Examine and confirm details of quote and invoice schedule are correct in DFSD · Activate rental and send email to Accounts Receivable Team with evident details an/or documentation to request approval · Configure and deploy equipment and/or accessories in RMT · Supplement the Rental Invoicing spreadsheet for accuracy of Invoicing schedules · Invoice rental projects as per Invoicing schedule and submit Tax Invoices as per contractual obligations. · Investigate any missing delivery and startup documentation as applicable to support initial revenue take up to remain complaint. · Investigate any missing return and decommissioning documentation as applicable to support final revenue take up to remain compliant. · Invoice and take up revenue monthly as required between startup and commission (Nil documentation required) however following the Invoicing schedule. · Return equipment and/or accessories in RMT · Raise rental repair/maintenance SSIDs as required; on completion move costs to no charge project, trigger WIP and close. Rental Logistical Duties · Arrange for the rental units to and from storage facility to fabrication workshop and organise the return once fabrication works completed · Liaise with transport and the warehouse team on the incoming and outgoing rentals · Liaise with Trane compliant Transport teams of all rental chiller deliveries to project site and liaise with managers on ETA of duration. · Follow up with the team on the return dates · Monitor location of the rental chillers on site fortnightly General Administration Duties · Ensure that all work is oriented towards customer satisfaction and in line with internal processes. · Provide administrative support to Service Managers and other members of the administration team in their administration function when required. · Provide administrative support to the Project & Logistics teams when required. · Creation of New buildings in DFSD and its maintenance. · Undertake specific administrative tasks as required. Other Requirements · Contribute to continuous improvement activities within the department and processes. · Liaise with customers/suppliers and coordinate resolution of issues or queries arising in a timely and effective manner. · Undertake other duties in accordance with your position and Trane policy and procedure as directed by Supervisor/Manager · Promote and continuously apply personal safety, environmental and quality awareness in the workplace About you Your skills and experience will include: - Tertiary qualification in either engineering/maintenance/logistics/business or equivalent experience. - Significant experience in a Fleet management and/or Asset role and/or Procurement role. - Strong understanding of vehicle maintenance, compliance and safety regulations - Excellent analytical and problem-solving skills to optimise fleet performance. · Demonstrated knowledge and experience within corporate administrative function or Department. · Be a self-motivated/independent person, taking focus and ownership of all team and personal goals. · Maintain high standards of personal and team responsibility · Effective communication skills - both written and verbal.
