About the Role Trane Technologies has an exciting opportunity to join our organisation as a Permanent AUS Project Administration Officer and will be based out of our Office in Canberra. Reporting to the ANZ Business Operations Manager, and working alongside the Finance Controller, the AUS Project Administration Officer will be responsible for maintaining project documentation, coordinating meetings, tracking project costs, and maintaining project schedules, Invoicing & Document control. This includes performing both routine and specialist tasks and assignments from requests and instructions provided by the project teams and setting up Warranty Maintenance Agreements. The AUS Project Administration Officer will build rapport with established customers and foster new supplier relationships, to ensure the best possible outcomes on daily basis for the Equipment Business. The information you will handle is strictly confidential, and you are expected to always maintain the highest degree of confidentiality. Key Responsibilities · Managing project documentation and contracts, raising issues and implementing changes to contracts. - Preparing, Maintaining and update comprehensive project documentation, ensuring current and accurate records are kept and filed. - Perform a variety of project administration duties, including, project tracking, project invoicing, and project financial reports. - Facilitate effective communication among stakeholders through regular project updates and detailed reports. - Coordinate with procurement teams to manage orders and ensure timely delivery of materials. - Attend financial meetings providing details on UER, UBR & WIP. - Initiates and approves Project invoicing according to contract terms & IRF. - Liaise with internal teams and external partners to facilitate smooth project execution. - Help with budget tracking, including analysing and sending expense reports. · Supporting Project Managers in coordinating and managing project tasks and activities. · Performing quality control on the project throughout development to maintain the standards expected. · Monitoring and tracking project's progress and handle any issues that arise, escalating to the relevant teams (Project and/or Finance Managers) · Acting as the point of contact and communicate project status to all participants. · Creating, Activating and maintaining Warranty Maintenance project documentation, plans and reports. · Strong communication skills with the ability to convey information clearly and accurately. General Administration Duties · Attend local team meeting as required (Internal and external if required) · Ensure that all work is oriented towards customer satisfaction and in line with internal processes. · Provide administrative support to Project & Service Managers and other members of the Administration team in their administration function when required. · Provide administrative support to the Rental & Logistics teams when required. · Creation of New buildings in DFSD and its maintenance. · Undertake specific administrative tasks as required. Other Requirements · Contribute to continuous improvement activities within the department and processes. · Liaise with customers/suppliers and coordinate resolution of issues or queries arising in a timely and effective manner. · Undertake other duties in accordance with your position and Trane policy and procedure as directed by Supervisor/Manager · Promote and continuously apply personal safety, environmental and quality awareness in the workplace About you Your skills and experience will include: · Tertiary qualification in either a business/project or related field or equivalent experience. · Proven work experience as a Project Administrator, Project Coordinator or similar role · Demonstrated knowledge and experience within corporate administrative function or Department. · Be a self-motivated/independent person, taking focus and ownership of all team and personal goals. · Maintain high standards of personal and team responsibility · Effective communication skills - both written and verbal.
