Coordinator (Administration) – Operations Delivery Program — Mulgoa, Penrith Area

The Coordinator will play a key role in a team that is responsible for supporting the effective implementation and delivery of the Operations Delivery Program (ODP), the Zero Operations Phase and the Trial Program. The position reports to the Executive Manager Operational Readiness. This is a great opportunity if you have 1-2 years’ business admin experience, working in a complex organisation and dealing with a range of stakeholders. Please note – this is a maximum term position to December 2026, beyond then WSI will continue to be a place of real opportunity. Key responsibilities : You’ll collaborate and work in coordination with the Executive Manager Operational Readiness to provide administrative support and manage deliverables across a range of areas: ODP Logistics Coordinating, managing and steering the ODP Working Groups Following up on topics and issued raised within each ODP Working Group with relevant stakeholders and coordinate solutions Support the implementation of solutions Development and presentation of ODP content to a diverse range of internal and external stakeholders Training Logistics Support the development of ODP Training program and schedule Support the development of Familiarisation training presentation and Guide Responsible for the coordination of training logistics (i.e. rooms, catering, transport, forms, PPE, stakeholders to be trained, delivery time etc.) Responsible for training communications (i.e. providing information to participants, invitation to stakeholders, updates on changes to training etc.) Responsible for managing and updating training records and database Trial Logistics Preparation, participation and follow-up in all relevant Trial related meetings Organisation of trial logistics, including warehouse, distribution of equipment (e.g. PPE), inventory lists, catering, trial passenger coordination etc. Support in the readiness of on-site Trials and ensure the site is prepared Support the development of Trial related documentation (e.g. trial event list, trial flight schedule) Participate in each Trial (incl. briefing and de-briefing as support for the Trial Manager) Support the development of Trial report and follow-up of issues About You Ideally you will have 1-2 years’ experience in business administration, supporting the implementation of programs or projects. Your ideal background is in an operations environment from logistics or a similar complex environment. Relevant Tertiary qualifications are desirable. Strong written and verbal communication skills. Strong interpersonal skills. Ability to foster and maintain trusted relationships with a diverse range of stakeholders Ability to communicate, influence and negotiate effectively. Quality orientated – accurately checks processes and tasks. Actively seeks improvements. Initiative – making an active attempt to influence events; self-starting; proactive. Ability to occasionally work irregular hours, including nights, weekends and holidays (if required). Ability to hold an Aviation Security Identification Card (ASIC) and/or other required security clearances.
