Client Care Administrator — South Melbourne, Port Phillip

Our Opportunity We are seeking two Client Care Administrators to join our dedicated support team and help facilitate the smooth intake, communication, and service coordination between clients and clinicians. The role is negotiable for either full-time or four days per-week. About the Role Maintain online clinician diaries and coordinate service appointments. Facilitate initial client intake, assessment, referral, and care planning. Manage client enquiries via phone, email, website, and live chat. Build rapport and provide timely, high-quality service to all clients. Support clinicians with administrative tasks, communications, and feedback. Handle client billing, intake documentation, and maintain accurate records. Liaise with GPs and external stakeholders to ensure smooth care coordination. Manage high-risk client protocols and escalate appropriately. Ensure front office and consulting areas are tidy, welcoming, and organised. Assist with client and clinician satisfaction by providing clear communication and follow-ups. About You Relevant experience in customer service, preferably in a healthcare or mental health setting. Qualification or background in mental health highly regarded. Excellent organisational and time management skills, with strong attention to detail. High emotional intelligence and the ability to demonstrate empathy and professionalism. Skilled communicator with the ability to manage multiple enquiries simultaneously. Able to work collaboratively in a team-focused environment. Self-motivated, adaptable to change, and able to work under pressure.
