Join our dynamic team and contribute to our ongoing success. Apply today PROJECT ADMINISTRATOR Position Summary The Project Administrator is a vital component of any project management team. This role involves providing administrative support to ensure efficient operation of the project. From managing project documentation to coordinating project activities, the Project Administrator plays an essential role in facilitating the seamless execution of projects. KEY RESPONSIBILITIES Project Documentation: Maintain accurate and up-to-date project documentation. Verify that supplier documentation, insurances, and licences are accurately recorded in Sage and meet regulatory standards. Scheduling: Schedule meetings as required by the General Manager and Construction Managers Schedule, co-ordinate, and action staffing levels on projects in consultation with the General Manager & Construction Managers. Arrange site-specific inductions. Send correspondence to notify employee of the induction. Verify personnel meet project requirements before sending site entry information. Communication: Serve as the point of contact for project-related inquiries, facilitating communication between project team members, clients, and stakeholders. Subcontractors: Administrative preparation, compliance documentation, and coordination. Resource Management: Assist in the allocation and management of project resources, including personnel, equipment, and materials. Monitoring Progress: Track project progress, identify potential issues or delays, and report to the project manager with regular updates. Financial Administration: Track budget and expenses, process invoices. Raise Purchase Orders for General Manager/Project Team Process induction payments with stakeholders. Work with suppliers to ensure timely delivery of project goods and services. Asset Management: Vehicle Preparation for all Saltire employees General Office Administrative support: Including but not limited to managing office supplies, uniform stock, office sundries, procurement and customer service. QUALIFICATIONS & SKILLS Education: A qualification in business administration, management, or a related field (or working towards one) Desired experience: Proven experience in a project administration role, preferably within the industry Skills: Strong organizational and multitasking abilities. Excellent written and verbal communication skills. Proficiency in MS Office Suite. Attention to detail and a proactive approach to problem-solving. Ability to work independently and as part of a team. PERSONAL ATTRIBUTES Detail-oriented with strong organizational skills. Initiative-taking and able to anticipate project needs.
