THE ROLE As the Facilities Coordinator, you are overseeing the maintenance, direct services repairs, and operational activities of the building while implementing strategies to enhance cost-effectiveness, ensure regulatory compliance, and drive overall productivity. Management and oversight of operational responsibilities including, cleaning services, lawns, landscaping, building maintenance, filing, and maintaining Document Management System. Research review and compare products and prices regarding vendors Ensure the network of branches within the business are serviced at all times Overseeing and coordinating tenancy maintenance, repairs and upgrades Managing vendor relationships, including negotiating and expense management Ensuring compliance with health, safety and environmental regulations Optimising office space and providing input into decisions regarding tenancy planning, office furniture, etc. Conducting facilities inspections and proactively addressing findings Ensure timely control of license renewals being, registrations, minor and major services, repairs, Document all actions and follow up due dates Handle communications concerning purchases, repairs vendors where applicable. Assist with the development of Company Policies, changes to those policies and assist with implementation. Compiling spreadsheets, preparing PowerPoint presentations and sending out group emails. Attend meetings and administer timelines as necessary. This team work extremely well together, they follow policy and procedure yet enjoy a relaxed yet timeline driven environment – everyone pitches in. THE ESSENTIALS Able to work in a tight knit team Have a minimum of two years administration experience with exposure to Facilities Management principles Proficient to make evaluations quickly and accurately. Ability to maintain financial records and files, organising files and compiling reports. Ability to manage multiple competing priorities by demonstrating flexibility in approach to tasks and adaptability when dealing with several priorities.
