As Site Administrator, you will provide essential administrative support to the construction team, ensuring smooth site operations through efficient document control, reporting, and coordination. This is a fantastic opportunity for a highly organised and proactive individual to contribute to the success of a major infrastructure project. Responsibilities General office management (stocking up kitchen, stationery etc) Maintain docket registers in Excel s/sheets accurately Receipt dockets for PO's in Virtual Superintendent in a timely manner File dockets by supplier until matched with invoices Clear old dockets from folders where invoices have occurred Reconcile dockets and invoices and resolve any issues (docket missing) Balance invoices with dockets Process invoices File invoices by supplier until sent to archives Ensure a good and current knowledge of Cost Codes for the site Prepare monthly listing of outstanding receptions for the Cost Controller Create Credit note requests for each invoice as required Close out old Credit notes Amend Purchase Orders as requested by Engineers Create and Update Purchase orders for Open Orders as required Prepare adhoc reports as required Maintain good relationships with Site Team (Project Manager, Engineers etc) Escalate invoice rate discrepancies to Engineers or Commercial Managers as appropriate Criteria Previous experience in a site-based or construction administration role Strong organisational and multitasking skills Excellent verbal and written communication skills Proficiency in Microsoft Office Suite (especially Excel and Outlook) Experience with document control systems and construction processes desirable Ability to work independently and collaboratively in a fast-paced environment High attention to detail and commitment to accuracy What's Next?
