The Service Administrator is a vital part of the service team, the role must provide support to our customers, sales and service teams to ensure all service requests and warranty claims are handled in an efficient and friendly manner. The role is primarily responsible for: In a timely manner, complete all administration duties in relation to processing warranty claims for all manufacturers within the TMHA business. Analyse the claims and process them in accordance with the manufacturer process as per the approved Warranty Procedure guidelines. Referring claims which are out of warranty or require policy decisions to the Branch Service Manager Create and provide monthly warranty financial reports for the Branch Service Manager Work closely with the head office national service with answering any specific queries regarding submitted claims General Duties When required, process supplier invoices, matching purchase orders and present for approval prior to processing When required, Initiate purchase orders for Service Department as requested. Be familiar with Integrated Management System (IMS), ensuring all policies and procedures are implemented within all service and warranty activity. Assist with other service related duties requested by the Branch Service Manager due to customer requirements and/or demands with business growth. When required, assist the Field Service Controllers by: Contacting customers via phone and/or email and arrange for PM servicing at a time suitable for customers. Directing any invoice queries to the relevant Service Manager or Service Admin team. Keeping the accounts department up to date with any customer detail changes. Raising purchase orders for service jobs when required Arranging unit return to workshop paperwork with rental and workshop Arranging contractors to undertake works Qualifications & Experience: Experience working within the Material Handling industry or a similar/relevant industrial service sector Previous experience with an ERP (M3) system, or a similar. Previous experience with Microsoft office suite, especially Excel. Proven experience in working in a fast pace environment Strong time management and organisational skills - ability to handle multiple tasks at one time Strong attention to detail and accuracy Computer savy - has the ability to learn new systems and computer softwares.
