The Australian Antarctic Division (AAD) is part of the Commonwealth Department of Climate Change, Energy, the Environment and Water. As primary agency for Australia's Antarctic Program (AAP), the AAD is responsible for achieving the Australian Government's Antarctic goals. These goals are to: • maintain the Antarctic Treaty System and enhance Australia's influence within it • protect the Antarctic environment -understand the role of Antarctica in the global climate system • undertake scientific work of practical, economic and national significance. The AAD also has responsibility for administering the Australian Antarctic Territory and the Territory of Heard Island and McDonald Islands. The Assets and Technology (A&T) Branch provides and maintains the equipment and infrastructure to support the AAP. A&T Branch activities range from the maintenance of existing Antarctic stations and equipment through to the design, manufacture, testing, operation and procurement of advanced scientific equipment and systems. The Branch manages major infrastructure projects in support of AAP outcomes. The Infrastructure Delivery Section is a key element of A&T and is responsible for the construction of the built infrastructure at Australia's Antarctic and sub-Antarctic stations and a project management group at the AAD's head office in Kingston, Tasmania. The key duties of the position include The Project Administrator will be responsible for providing document control and administration support for the Infrastructure Delivery Project Team. The document control and administration functions will support all project management, contract management, design & engineering, site management, quality control processes and other project activities. The role will be required to implement document control systems and process, working closely with project teams, responsible for managing and delivering building and construction works. The position will work directly with the relevant Project Lead to support good governance and project control processes. Control the flow, distribution and archiving of controlled documents throughout the organisation and external parties, including commercially sensitive and confidential documents, technical drawings, procedures, and quality records. Process various documentation, including ingoing and outgoing correspondence, contracts, reports, briefs, designs, drawings, schedules, registers and specifications within a document management system. Maintain document management systems and processes, ensuring accuracy and accessibility of project documents and record, including different document types and disciplines. Track document review and approval cycles, sending reminders and facilitating timely completion of document reviews. Scan and upload digital versions of physical documents into the departments document management system. Assist in developing reports, taking minutes and following actions from project meetings with project team and external stakeholders.
