The key duties of the position include The Role The APS 4 Administration Officer plays a critical role in providing procedural, operational, and administrative support within Defence. Key duties include managing course administration, information and records management governance and compliance, processing personnel and academic documentation, overseeing language proficiencies and allowances, and coordinating passport and visa requirements for staff and students. The role also involves responding to enquiries, liaising with stakeholders, and contributing to reporting and compliance processes. Top three job requirements: Strong administrative and organisational skills, including experience in managing documentation, procurement, and personnel administration. Ability to work collaboratively in a team, supervise reserve members, and provide leadership and training as required. Excellent communication and stakeholder engagement skills to provide advice and support to students, staff, and external stakeholders. About our Team Our small administrative support team plays a vital role in ensuring efficient student and staff administration within the unit. As a front-of-house team, we serve as the primary point of contact for students, staff, and external stakeholders, facilitating seamless communication and coordination. Our work directly supports Defence's broader mission by ensuring compliance with corporate requirements, maintaining accurate personnel records, and managing critical administrative processes such as course administration, language proficiencies, and travel documentation. By delivering high-quality customer service and operational support, we contribute to the overall effectiveness and readiness of the organisation. Our Ideal Candidate The ideal candidate for this role will be an organised and detail-oriented professional with a strong background in administration and customer service. They should have experience in managing personnel records, processing documentation, and liaising with stakeholders. Strong problem-solving skills and the ability to work independently while exercising sound judgment are essential. A proactive approach, coupled with excellent communication and interpersonal skills, will be key to effectively engaging with students, staff, and external agencies. Experience in Defence administration, knowledge of corporate policies, and proficiency in relevant systems such as PMKeys and Mercury would be highly regarded. The successful candidate will also demonstrate adaptability, initiative, and a commitment to continuous improvement in their professional development.
