To provide professional and friendly reception and administration services to the students, community, supervisors and practitioners operating from the teaching clinic: patient management including enquiries, bookings, flow of traffic within the clinic, patient records, payments and follow-up visits and patient feedback regarding services clinic administration including room set-up, stock inventory, receipting and general administrative support for staff, practitioners and supervisors The location is Surry Hills campus only ; working hours will be (24 hours weekly) and able to work Wednesday, Thursday: 10:30am-6:30pm and Friday: 9am-5pm. Please click here to review Job Description Accountabilities: Provide outstanding customer service to patients, students, supervisors and practitioners in the Clinic via the Clinic reception counter as well as other mechanisms such as email and telephone Manage patient enquiries, including describing services, making appointments Communicate effectively with patients, practitioners, supervisors and students, including ensuring all messages and email requests are handled in a timely manner Ensure the clinic is opened and closed for business daily, the waiting room and reception areas are neat, tidy and appropriately stocked Enter and maintain correct patient records in relevant databases, ensuring patients complete the required forms on arrival, tracking patient file allocation to practitioners, ensuring files are returned at the end of each session and returned to the filing system correctly Ensure accurate scheduling of new and return appointments, contributing to the effectiveness of the teaching clinic We Are Looking For: Diploma, undergraduate degree or equivalent Knowledge and/or experience of reception and administration duties in a medical or allied health practice Strong IT skills including office programs (including MS Excel, MS Word), databases such as student systems and practice management software Ability to respond appropriately to customer enquiries with a strong customer service ethos Strong interpersonal skills, a positive attitude and ability to relate to other people and to work co-operatively as a member of a team Able to exercise judgment in dealing with difficult or problematic patients/situations and to demonstrate flexibility and sound decision making within agreed boundaries Superior verbal and written communication skills including excellent negotiation and conflict resolution skills Why join us?
