We are looking for a talented executive and business administrator to join our team and support the smooth running and growth of the business. About the Role In this position, you will provide high level of administrative and executive support, playing a key role coordinating important business functions, while ensuring everything runs smoothly. Your Responsibilities: Executive support: Provide proactive assistance to executives such as managing special projects, conducting research and handling general administrative tasks. Calendar and meeting coordination: Schedule meetings, prepare agendas, take minutes, and follow up on action items. Create documents and reports: Prepare and edit report, presentations, and other key documents, including cost reports. Maintain systems and records: Maintain company registers and folders to support client satisfaction and smooth operations. Coordinate travel and events: Book travel and accommodation for the team and help with events as needed. Basic IT and SaaS admin: Manage basic user admin and permissions of company IT and SaaS apps, with technical support provided by an IT consultant. Monitor and respond to queries: Handle incoming and outgoing communications (phone, email, mail) in a professional and timely manner. Office management: Oversee office maintenance, cleaning, supplies, catering, and general upkeep for our small office. About You We are looking for an experienced and motivated person with strong interpersonal skills and a positive attitude. Skills and attributes: A high level of professionalism and presentation Strong attention to detail and accuracy Excellent communication and interpersonal skills Strong initiative, accountability and problem-solving ability The ability to manage time and prioritise effectively Flexibility and adaptability to changing priorities and demands Discretion and professionalism when handling sensitive information Tech savviness with high level of proficiency in Microsoft Office, especially Excel Good commercial acumen and comfortable working with numbers Demonstrated experience in a relevant role.
