Administrative Assistant - Office of the CEO 32 hours - 40 hours per week available Classification HS1 - HS2 Dependent on experience and qualifications in line with Health and Allied Services, Managers and Administrative Workers (Victorian Public Sector) (Single Interest Employers) Enterprise Agreement 2021-2025 About the role: As the Administrative Assistant, you will be the face of the Office of the CEO, providing a welcoming and professional first point of contact for internal and external stakeholders. This role requires a proactive, consumer-focused individual with exceptional communication skills, ensuring that interactions with the CEO’s office reflect professionalism, efficiency, and a commitment to excellence. Reporting to Executive Assistant to CEO, you will work closely with the team of Executive Assistants within the Office of the CEO, members of the Executive Team, and across Yarrawonga Health (YH) to ensure all documentation and records are managed efficiently using authorised systems and templates. In addition, you will support the delivery of communications, administrative tasks related to online content for YH programs and projects, and marketing as required. As a key part of the administrative team in the Office of the CEO, you may also be required to provide additional support during periods of high workload or staff leave, ensuring seamless operations and timely achievement of key objectives. Key Selection Criteria: Previous administration experience with a high level of accuracy and attention to detail. A thorough understanding of confidentiality principles, including knowledge of and adherence to the Privacy Act 2000 and relevant privacy regulations within a healthcare setting. Experience in handling social media platforms in accordance with organisational policies and communication frameworks. Highly developed interpersonal skills, with the ability to interact confidently, professionally, and courteously with people at all levels while upholding the organisation’s values. Demonstrated ability to work independently with strong time management and organisational skills, ensuring tasks are completed efficiently and within set deadlines. Strong communication skills, both written and verbal, with the ability to engage effectively with a wide range of individuals and groups, including Executive leadership. Strong computer skills, including proficiency in Microsoft Office applications and the ability to quickly learn and adapt to various task-specific software and programs. Desirable: Certificate or qualifications in Business Administration or Marketing would be well regarded. Experience in organising meetings, including the preparation and distribution of agendas, papers and minutes. Experience with communication software and social media tools will be an advantage.
