We are seeking a reliable and organised individual to join our team in an office administration / scheduler role at our Warriewood office five days a week. (This is an office-based role). Your Responsibilities: Report to the scheduling team in the day-to-day care operations of healthcare programs by performing essential administrative duties as directed, including but not limited to: Assist in answering phone calls, managing random lists Support in the scheduling of all random drug and alcohol testing jobs across Australia and New Zealand Making live schedule changes where necessary Ordering, receiving, packing and posting supplies for Collectors Assist in scheduling paramedic rosters Help manage the on-call roster for collectors Collaborate with the team in booking travel arrangements for collectors, nurses, and paramedics when needed Request schedules from clients and send confirmed schedule to clients Support the accounts team with operational queries and invoice assistance as required Skills and Attributes: Organised and efficient with acute administration skills, positive mindset Communication skills: Your excellent communication skills allow you to collaborate effectively with collectors, nurses, paramedics, and team members at all levels Problem Solving: You tackle challenges head-on Detail-orientated: You have a keen eye for detail, ensuring accuracy and precision Team player: You excel in a collaborative environment, contributing your expertise to help the team succeed Adaptability: You thrive in a fast-paced environment, being proactive, easily adapting to changes and shifting priorities Proficiency in Microsoft Office suite, including Word, Excel, and Outlook, with advanced computer skills Experience and Qualificiations: Proven experience in administration Minimum HSC qualification Request schedules from clients and send confirmed schedule to clients Exceptional organisational and time management skills Strong communication and customer service abilities Ability to thrive in a fast-paced environment and adapt to changes A proactive mindset with a passion for problem-solving and process improvement Minimum 5 years of customer service experience Experience in a healthcare setting advantageous but not essential We appreciate a strong team spirit, creativity, and a good sense of humour.
