Plant & Equipment Administrator — Ashgrove, Brisbane

Position Overview: We are seeking a detail-oriented and proactive Plant & Equipment Administrator to join our team. This role is integral to ensuring the efficient coordination and management of our equipment and plant operations. The successful candidate will support various administrative and operational processes, including equipment registrations, work order coordination, and process efficiency improvements. Key Responsibilities: Monitor fleet compliance, ensuring outstanding faults, services, risk assessments, and registration expiries are tracked and addressed. Review prestart reports and coordinate necessary repairs and services. Co-ordinate scheduled maintenance and manage work orders, including triaging, ordering filter kits and updating part requests while liaising between site teams and mechanics. Book services, repairs, and Certificates of Inspection (COI) as needed. Maintain and update the Risk Assessment register to ensure compliance. Review and approve invoices, providing first-level approval and cost tracking for parts orders. Maintain vehicle registration records, process renewals, and complete new registrations or changes, including liaison with Government Entities across multiple states. Support the Plant & Equipment team with general administrative tasks and ad-hoc duties. Assist in sourcing and arranging hire vehicles. Communicate with project construction teams, service providers and suppliers. Adhere to AEC systems and processes. Your Skills and Experience Experience with equipment/ fleet maintenance/ vehicle hire/logistics in an administration capacity is desirable. Strong Microsoft office experience, particularly in Excel Excellent problem-solving and communication skills. Strong attention to detail and organisational skills. Proficiency in administrative coordination and process improvement. Ability to manage multiple tasks and work collaboratively with internal and external stakeholders.
