Position Overview: We seek a motivated and detail-oriented Office Administrator to provide efficient and effective administrative support to our team. The successful candidate will manage the office’s day-to-day operations, including scheduling appointments for estimates and service calls, coordinating with team members, and maintaining an organised workflow. Responsibilities: • Handle phone calls and emails from clients and vendors professionally and on time. • Maintain and update client information in the company database, process invoices and payments, and manage inventory of supplies and equipment. • Prepare estimates and paperwork for upcoming projects, review and organise files, and communicate with insurance companies and adjusters to process claims. • Coordinate with team members on current projects and assist with scheduling and coordinating team members’ schedules. • Follow up on pending projects and tasks, prepare reports and documents as needed, and respond to any remaining emails and phone calls. • Review cashflow forecast with a business advisor and discuss booked jobs as required.
