Overview: Full-time , Continuing position Salary HEW 6 ( $ 90,280 - $97,724) 17% Superannuation and Flexible Working Arrangements Based at the Melbourne CBD campus , but may be required to work and/or be based at other campuses of the University About You The Administration Officer plays a crucial role in the efficient operation of the departments within the School of Engineering, ensuring that administrative processes run smoothly and providing support to key stakeholders, including heads of department, deputy heads of department, program managers, course coordinators, and other academic leaders. The role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously in a dynamic academic environment. The Administration Officer is instrumental in managing the day-to-day operations, including overseeing administrative tasks, coordinating events and facilitating communication. In addition to handling routine administrative duties, the Administration Officer plays a crucial role in planning and decision-making processes by providing accurate information, generating reports, and offering insights on departmental activities. The Administration Officer also serves as a primary point of contact for staff to address their enquiries, resolving issues, and ensuring that all stakeholders have access to the resources and support they need. The role involves close collaboration with university and college services, ensuring that the department remains compliant with university policies and external regulations. Furthermore, the Administration Officer is responsible for fostering a positive and inclusive environment within the department, promoting teamwork, and encouraging open communication. This role is critical in supporting the academic mission and goals. To be successful in this position, you wi ll hav e : Demonstrated experience in providing comprehensive administrative support to facilitate department operations, including proficiency in using MS office and other related enterprise level software and managing multiple tasks efficiently. Proven ability to support departmental financial management , including tracking expenses, processing purchase orders, and invoices, with a strong attention to detail and accuracy. Human Resources Support: Experience in supporting HR-related tasks such as recruitment, managing excess leave, compliance training management, and onboarding new staff mem bers, ensuring adherence to departmental and university policies and procedures. Demonstrated ability to plan and organise events, such as seminars, conferences, and workshops, including managing logistics , catering, and communications effectively. Strong interpersonal and communication skills with the ability to act as a liaison between the department and school/college services and Deputy Heads of Department , Program Managers and other academic stakeholders, fostering positive relationships. Knowledge of and experience in ensuring adherence to university policies, procedures, and regulatory requirements. Ability to liaise with various university support functions to smooth operation of department activities. Proven ability to foster a positive and inclusive work environment that promotes collaboration and teamwork, contributing to a cohesive and productive department. Evidence of contributing to the review and enhancement of processes and procedures within an academic environment. Ability to identify opportunities for process improvement and implement solutions in a continuous improvement framework.
