Job Description We are seeking an organised and proactive NPI Operational Support Administrator to join our team. This role will involve managing key administrative processes, supporting staff travel and accommodation, processing payroll and rosters, and providing essential support for recruitment, training, and compliance. The ideal candidate will be a highly motivated individual with strong communication and organisational skills, able to manage multiple tasks and priorities in a fast-paced environment. Key Responsibilities : Travel and Accommodation Management Book travel and accommodation for staff and contractors, ensuring timely bookings and accurate travel details. Consolidate contractor hours and ensure proper documentation. Payroll and Rosters Process timesheets for approval (via Etivity) and verify overtime allowances. Manage and update rosters to ensure proper workforce planning. Ensure payroll is processed accurately and on time. General Administration Support Maintain strong communication and rapport with staff and managers at all levels. Complete Amex reconciliation and upload necessary documents (e.g., BAC & Prestart sheets, pool inspection forms) to DS. Track and manage stationery and uniform orders. Coordinate termination and recruitment processes, including CRF, CVF, and annual leave management. Produce and manage month-end reports. Implement new administrative procedures as required. Ensure all recruitment efforts are in line with statutory and organisational requirements. Training Support the recruitment process, including updating training records in SAP and Data Station. Track and report on expired training and licences, ensuring compliance. Book external training and manage employee qualification records. Key Accountabilities : Timely and accurate completion of all administrative processes, ensuring approvals are communicated and records are maintained. On-time payroll processing and up-to-date rosters. Timely booking of travel and accommodation with clear communication to staff. Seamless processing of terminations and recruitment actions. Zero SAP expiries across the workforce.
