If you are highly organised, thrive on variety and enjoy connecting with people we want YOU to be part of our team About the role: In this dynamic position, you'll provide timely support by handling a variety of financial administrative tasks, manage stakeholder communications, and handle a variety of general administrative tasks in preparation and planning of events. Key activities that you'll be doing: Work closely with the Venue Hire Administration Officer to deliver on the logistical and administrative requirements of venue hire and meeting room bookings Provide support to the Venue Hire Administrator in the day-to-day management of the Venue Hire casual team including rostering, training and development, and developing an understanding of the rostering system Snap Schedule and timesheet protocols. Support the Coordinator Events and Production to deliver on the logistical and administrative requirements of the GRLC Major Events Program and the annual Local Word Festival. Work with the Co-ordinator Events and Production to maintain the shared ‘Events and Programming’ Excel spreadsheet system and assist with pre- and post-event logistics Undertake of financial processes such as but not limited to creating purchase orders, invoicing, receipting, tracking of outstanding invoices and completion of internal fund transfers and regularly communicating with stakeholders around these tasks. Monitor the shared inboxes (events and venue hire) and responding to queries around GRLC events, venue hire, festivals and more (via email, phone or in-person) in a timely manner, referring enquiries to relevant staff as required and/or escalating queries for attention . The ideal candidate has: Strong organisational and time management skills A solutions-focused attitude and the drive to overcome challenges Proven experience in administrative support Ability to liaise with a wide range of stakeholders, both internally and externally, with professionalism and clarity.
