We are looking for an administration worker to support our small and friendly team at STAR Program - a program supporting people with AOD-related concerns (Alcohol and Other Drugs). The primary purpose of the Site & Program Administrator (STAR Program) position is to support managers, coordinators, team leaders and staff to deliver the highest standard of business, administrative and customer support within The Salvation Army Services by: • Working with the Victorian administration team to contribute to consistent and efficient processes across state services • Carrying out administrative tasks for the STAR site and program. This position is based out of Sunshine and Coburg North. Salary and conditions are in accordance with the Grad Profile SCHADS Award, Level 2 We have a preference for someone who can work the 0.6EFT across 4 or 5 days, however we are flexible - please provide information on your availability and preferences in your application. The suitable applicant will be happy to do occasional travel between the Sunshine or Coburg North offices - this travel would be within work hours. Key Responsibilities: Maintain an organised record system for all administrative tasks. Manage minute-taking, catering, and bookings for meetings and events. Oversee ordering and purchasing for program staff (e.g., stationery, furniture, IT equipment). Manage fleet car logistics, including servicing, insurance, repairs, bookings, and fuel cards. Handle IT hardware and asset management (e.g., mobile phones, access keys, staff Identification tags). Coordinate administrative processes for client appointments, including bookings for interpreters and rooms. Support finance activities, including invoice payments, corporate cards, receipting, material aid vouchers, and program acquittals. Ensure program materials meet Accreditation standards, including formatting, printing, and accessibility for staff and clients. About You: This is a Level 2 SCHADS position, and is suitable for someone seeking an entry-level position, or experienced administrators seeking more work/life balance Proven experience in reception and administration roles. Strong interpersonal, verbal, and written communication skills with the ability to build relationships across diverse stakeholders. High attention to detail, maintaining confidentiality and handling sensitive information professionally. Excellent time management and organizational skills, with the ability to clarify roles and monitor task completion. Proficient in administration tools (Word, Excel, IT, finance management) and effectively utilizes technology and software. Knowledge of health and safety responsibilities, ensuring a safe working environment. A Nationally Coordinated Criminal History Check A current and valid Working with Children's Check A valid Victorian Driver's license.
