We are seeking an Administration Support to become an integral part of our client's team. In this role you will be assisting with the day-day running of a busy logistics warehouse, working very closely with internal and external stakeholders, ensuring deliveries are met and a high level of customer service is provided. Duties will include: Track and monitor deliveries, providing clients with updates and advise on potential delays, problem solving as issues arise. Develop and nurture lasting client relationships, while delivering exceptional customer service. Reconcile and/or invoice deliveries daily. Prepare invoices of suppliers for accounts payable, with their relevant accompanying documentation where required. Be the first point of call for any operational and invoicing queries via email or phone. Maintain and action items within the shared mailbox · accurately file unsigned/signed delivery documents and into store reports using SharePoint. Maintain Inventory Locations (SLOCs) in SAP for post vessel docking inventory which is being held at Supplier Warehouse, Site Warehouse or JIT/Processing sites. The key attributes we are looking for to fill this role: Strong analytical skills. A high standard of written and oral communication skills, including the ability to communicate effectively and professionally by telephone, letter, e-mail and in person. Intermediate computer skills · Experience with Microsoft Office Suite or similar (Outlook, Word, Excel (basic formulas and formatting knowledge is desirable) Preferable experience with ERP or database systems (eg. SAP, Oracle etc). Optimistic & Realistic · Ability to take proactive action and use initiative to solve problems. Accuracy & consistency with all data entry. Willingness to learn · Assist with special projects from time to time as required by management. Clear & honest communication · Ability to handle pressure in sometimes challenging situations. Integrity in handling information and documents · High level of attention to detail.
