Other entitlements include: Salary packaging up to $15,900 Study leaves Employee Assistance Program 12 days of personal leave per year NAIDOC Day holiday Personalized professional development opportunities About the Position The purpose of the role is to provide effective and efficient administration support to the clinical services team in meeting regulatory and compliance requirements including, version and quality control of approved documents. The role is required to format documents in preparation for accurate and consistent record keeping in LogiQC for all business areas. KEY RESPONSIBILITIES Ensure maintenance and monitor staff compliance with the LogiQC database to ensure timely action of tasks by accountable persons and provide regular reports to all service delivery areas as required. Manage the control of organisational documents within LogiQC, ensuring documents are allocated to relevant roles for review and approval. Manage and maintain confidentiality concerning Medical Director matters and regarding all correspondence and communication. Provide comprehensive administrative services in a collegiate manner which is underpinned by quality and accuracy including but not limited to the following tasks: Diary Management. Provide high level administrative support to the MD including word processing, document management and assistance with projects as required. Draft agenda for the meetings and manages room bookings. Attend and take minutes of internal meetings such as the DYHS GP, Clinical Governance and CQI meetings as required. Organize catering for clinical services meetings and drafting purchase orders as required. Document meeting minutes and action items in a timely manner to meet expected timelines and follow up. On behalf of the Clinical Services Team purchase goods and services in accordance with DYHSAC purchasing guidelines. Assist with special projects. SELECTION CRITERIA ESSENTIAL Proficiency with use of LOGIQC or other quality management system. Demonstrated understanding of the unique issues affecting and impacting on the health and wellbeing of Aboriginal people. Highly developed communication skills, including an ability to communicate effectively and sensitively with Aboriginal people. Demonstrated ability to manage and maintain strict confidentiality at all times. High level verbal and written communication skills with strong attention to detail. Demonstrated ability to use computers and related software packages, specifically MS Word, Outlook, Excel and Power Point. Ability to take minutes in a formal meeting environment. Ability to work with minimum supervision to meet deadlines and daily work commitments. Computer literacy skills. DESIRABLE Aboriginal and or Torres Strait Islander Ability to use initiative, recognise problems and assist in providing solutions. Demonstrated focus on the provision of excellent customer service, both internally and externally.
