Haven Home Safe is a commercially operated, profit-for-purpose homelessness organisation specialising in housing solutions with the aim of providing hope and care to Victorian communities to prevent homelessness and end housing stress. Our collaborative and hard-working team is now seeking an experienced and dedicated Receptionist to join our Preston office in Victoria, on a Full-Time Fixed-Term Basis for 12 months. As one of the first points of contact for the organisation, your customer-centric focus and helpful nature with ensure a calm, welcoming, and friendly interaction to families and individuals who are homeless or at risk of becoming homeless. Some Key Responsibilities Include: Provide a high standard of professional service to clients as first point of contact, responsive to needs. Provide general reception duties by answering general enquiries through front door or via phone regarding various Haven; Home, Safe programs Answering phones, transferring and taking messages for the various Haven; Home, Safe programs and staff, ensuring follow up with regards to best practice support services. Adherence to organisational values, policy, and program guidelines. Maintain appointment booking system on Customer Relationship Management (CRM) system Prioritising appointments and triage for the Client Care IAP team Assist with pre intake and assessment process for referral into the appropriate program stream of Haven; Home, Safe. Administrative and reporting support to the Client Care IAP team Co-ordinate and deliver on delegated administrative projects Escalate complaints and feedback promptly and respectfully to leadership Provide advice, information and service system matters to the leadership team Key Selection Criteria: Demonstrated capability and commitment to deliver professional and genuine supportive customer service A strong customer/client service focus, demonstrating an understanding of the behaviours and range of attributes of individuals experiencing significant personal pressures, due to housing crisis or stress Ability to work flexibly in a high demand environment, providing timely and quality customer and administrative services Excellent Communication skills Excellent computer skills and experience using Microsoft Office (Word, Excel, Outlook, Teams etc) Knowledge of Customer Relationship Management (CRM) databases Demonstrated understanding of quality systems, compliance, and data reporting skills Ability to work within program and legislative constraints and an appreciation of the relative prioritisation of needs in a supply constrained environment Ability to work effectively as a team member and autonomously, in a multi-skilled team environment Demonstrated understanding of the importance of confidentiality and privacy of both customer and staff information Emotionally intelligent individual with empathy and deep commitment to working with vulnerable groups Haven Home Safe requires all its staff, volunteers, directors and contractors to have had their first two vaccine doses for COVID-19, recognising the important role this plays in our ability to continue to support the communities we serve and to keep all of us safe.
