Your Role: As the admin and reception team member at our North Shore clinic, you’ll be the first point of contact for our paediatric clients and their families. The clinic can often be a quieter space, with therapists in and out on home or school visits, so you’ll need to feel comfortable working autonomously. Key responsibilities include: Maintaining a welcoming environment for families. Preparing service agreements and school access agreements. Ensuring correct appointment billings, lodging invoices and reconciling payments and banking. Managing incoming emails and clinician correspondence. Coordinating and optimising therapists’ schedules to maximise appointment efficiency and minimise travel time Ensuring seamless booking, rescheduling and cancellation of appointments Identifying and resolving scheduling conflicts or available openings Implementing efficient use of therapy rooms and resources Keeping the clinic clean and tidy, preparing resources and clinic rooms for our OTs Proactively identifying opportunities to improve administrative processes and workflow efficiency. You’ll also occasionally work from our busy Pimlico clinic to cover leave or during quieter periods like school holidays. What We’re Looking For: Experience in admin or reception roles, ideally within a healthcare or allied health setting. Strong computer and phone skills.
