Why This Role Matters Under direction from the Residential Services Site Administrator, the primary purpose of the Program Administrator (Barwon AOD & MH Services) position is to support managers, coordinators, team leaders and staff to deliver the highest standard of business, administrative and customer support within The Salvation Army Services by: Working with the Victorian administration team to contribute to consistent and efficient processes across state services Carrying out administrative tasks for the multiple programs at Barwon Alcohol and Other Drugs & Mental Health Services About The Role We are seeking a dedicated Program Administrator for our Geelong withdrawal unit in a Part-time capacity. This position is based out of Corio, Geelong. Salary and conditions are in accordance with the Grade profile SCHADS Award level 2.1 This position requires 2 days of work per week, specifically Thursday and Friday, from 8:30 AM to 4:30 PM. These days are fixed due to the role being a job share arrangement. However, some flexibility with start and end times may be considered. Please confirm your availability in your application. Key Responsibilities: Collaborate with Service Managers and Team Leaders for effective communication. Handle inquiries and communications professionally and efficiently. Maintain an organized record system for all administrative tasks. Manage meeting minute-taking, catering, and bookings. Oversee fleet car management (service, insurance, repairs, bookings). Coordinate IT hardware, access systems, and staff IDs. Support site systems (finance processes, room/fleet bookings, training calendars). Handle postal and mailing needs. Support COVID compliance, PPE ordering, and reporting. Assist with Continuous Quality Improvement projects and additional tasks as needed. Manage reception, appointments, visitors, and inquiries. Handle communications with stakeholders (participants, contractors, staff, leadership). Ensure reception and program areas meet Accreditation requirements. Coordinate program materials and ensure compliance with Accreditation standards. Coordinate ordering/purchasing for program and staff (groceries, stationery, equipment). Support finance activities, including accounts payable (invoice payments, receipts, program acquittals). Support accounts receivable (payment processing, bank deposits), reporting, reconciliation, and raising invoices. Oversee building maintenance and safety, ensuring compliance with WHS requirements. Coordinate office equipment and IT maintenance. Schedule WHS site inspections, meetings, and record-keeping. Ensure ergonomic assessments and furnishing needs for staff. Perform other WHS-related tasks as per legislation and guidelines. About You: Relevant Business qualification such as Certificate IV or Diploma in Business Administration Demonstrated experience in reception/administration responsibilities Well-developed interpersonal and excellent verbal and written communication skills with the ability to liaise and build strong relationships with a diverse range of stakeholders High attention to detail with proven ability to maintain confidentiality of service users and professionally handle sensitive data and information Demonstrated time management and organisational skills with a proven ability to clarify roles and responsibilities of self and team members whilst monitor task completion to ensure objectives and priorities are met A high level of knowledge of administration specific skills, e.g., Word, Excel, IT, finance management, security management and utilises technology and software applications effectively in accordance with task requirements Knowledge of health and safety responsibilities and commitment to performing duties in a safe manner to ensure safety of self and others A Nationally Coordinated Criminal History Check A current and valid Working with Children’s Check A valid Victorian Driver's license.
