More about our projects, locations and current works can be found on our Facebook or LinkedIn pages About the role Reporting to the Operations Manager – Switchboards, the role is responsible for providing support services for the overall Business Unit. This includes performing both routine and specialist tasks and assignments from requests and instructions provided by the project teams as well as providing administration support to Switchboards and ad-hoc support other business units as needed. Therefore, you will be highly motivated, extremely organized, have excellent communication and use your logical and lateral thinking, to provide support to this Business Unit on a daily basis. Our Ideal candidate would have the below essential skills: Will have proficient knowledge with Microsoft Office Suite including excel, word and outlook Previous experience working in administration position in the Construction desirable Perform daily tasks with a company centric outlook whilst maintaining a sense of professionalism Showcases their ability to meet required deadlines through working in a timely manner and being organized Excellent attention to detail and the ability to prioritise and multi-task Portrays outstanding relational qualities that assist to maintain and manage relationships Exceptional communication skills and ability to drive a strong culture, promoting our core values to be respectful, patient, flexible, accountable and focused Good organisational and time management skills with a ‘can do’ attitude Ability to work unsupervised and be proactive What you will do Document Control including setup and maintenance of a correspondence out register, transmittals and working with web-based document collaboration systems Coordinate data management and information transfer, including setting up and maintaining filing systems, document logs and action item list. Coordinate project specific purchasing ordering of goods with just in time delivery schedule Liaise with the Operations Manager and Engineering Manager regarding project specific purchases, timelines and vendors Assisting in quality management processes in line with CE Group requirements. Filing and retrieving documents, records and reports. Assisting with general administrative tasks and other duties as required. Coordinating daily tasks and logistics Contributing relevant information to assist with the delivery of projects Preparing handover documentation and seek regular feedback Assist with daily Ad-hoc duties Maintenance of data in the Work in Progress (WIP) spreadsheet Reconciliation of financial transactions for completed projects Data/input for monthly reports provided to meet reporting cycle.
