Description The role Moores is seeking an experienced Personal Legal Assistant to provide outstanding organisational and administrative support to the Charities and Not-for-profits (NFP) team, including a Practice Leader, Rebecca Lambert-Smith and four lawyers (two of whom are part time). Moores’ NFP team is a trusted adviser to charities and not-for-profits across Australia, supporting them through creation, crisis and change. The role requires a mix of legal secretarial skills and PA capability. You will be responsible for duties including client liaison, diary, email management and document production. Key responsibilities will also include: • Triaging new client enquiries received via website and phone; • Setting up new matters according to file opening and closing protocols; • Document production, including preparing draft price proposals and price agreements; • Generating bills to clients; • Managing team precedents and using them to generate client correspondence; • Liaising with the Practice Leader to monitor team capacity and progress against goals; • Scheduling and coordinating client meetings and managing client deadlines effectively; and • Drafting applications and correspondence to regulators including the ACNC, ASIC, ATO and CAV. Skills And Experiences Who are we looking for? Our ideal candidate is an excellent organiser and communicator, with at least three years’ experience as a Personal Assistant in a legal environment. You have already proven yourself to be a strong team player who is proactive and client focused. You work well under pressure to meet tight deadlines, whilst taking pride in work presentation and maintaining a high level of attention to detail. A thorough understanding of Microsoft Office is essential. Previous experience with Salesforce programs and Affinity is advantageous. We are seeking someone who can partner with the Practice Leader and the wider NFP team to deliver excellent service to the firm's clients by building and maintaining effective relationships, as well as developing an understanding of our clients and their business. You will need to be a confident communicator with the ability to engage with varied clients and stakeholder audiences. As a forward thinker, you can anticipate the needs of the team and are always one step ahead. You have great judgment and know when to exercise initiative and when to check-in.
